Maintaining an Active Chapter

Collegiate chapters must recertify annually with the ESW National Office to remain in good standing. Annual recertification is important to keep track of the names of the current officers and the name of the faculty advisor. Also, it is a good reminder for officers to keep up with their ESW membership.

By June 1 of every year, the collegiate chapter must submit an Annual Report outlining the current contact information for the chapter as well as listing the current chapter advisor and chapter officer information.

To be considered an active chapter in good standing, the chapter must retain a faculty advisor that is a current, paid-member of ESW and two student officers (President and VP of Finance) who are current, paid-members of ESW. Additionally, the collegiate chapter must adhere to the ESW National Office’s policy regarding use of the ESW logo and other proprietary materials (see below).

1. What happens if the chapter does not have an advisor who is a current member of ESW?

A collegiate ESW chapter operating with an advisor who is not a current member of ESW is not in good standing. The advisor must join or renew membership in ESW immediately to keep the chapter in good standing.

Until the National Office receives confirmation that the advisor has retained membership in ESW, the chapter will be listed as “at-risk” of being declared inactive.

2. What happens if the chapter does not have at least two chapter officers (President and VP of Finance) who are current members of ESW?

A collegiate chapter operating with a President and/or VP of Finance who are not current members of ESW is not in good standing. At a minimum, the chapter president and VP of Finance must maintain membership in the national association.

Until the National Office receives confirmation that the officers have membership in ESW, the chapter will be listed as “at-risk” of being declared inactive.

3. If the chapter has a website:

  • It must use the proper ESW logo and color scheme (for more information, please consult the ESW PR & Marketing Guide available to chapter presidents in the Chapter Leader Center).
  • It must have correct URL links to the ESW National website (www.eswusa.org).
  • If applicable, it must reference the correct ESW mission and vision statement, which can be found at Mission & Vision.
